9. Workgroups

Workgroups are the basic unit for managing users and content.

Workgroup Screen

Select "Workgroup" from the side menu to display the workgroup screen.

Toolbar

Position Item Description
Left Menu (≡) Open side menu
Center Tab switcher Switch between "Owned Workgroups" and "Joined Workgroups"
Right Refresh (↻) Refresh workgroup list
Right Add/Join "Add Workgroup" (owned tab) or "Join Workgroup" (joined tab)

Tab Types

Owned Workgroups

Manage workgroups you own.

Screen Layout

Workgroups are displayed as a collapsible list:

Click the arrow icon (∨ / >) to the left of workgroup name to expand/collapse.

Workgroup Header

Each workgroup header shows the following items (for owners):

Item Description
Expand/collapse arrow ∨ (expanded) / > (collapsed)
Workgroup name Name of the workgroup
Join Request Switch to allow other users to request to join
QR code icon Display workgroup join QR code (shown when Join Request is ON)
Add member icon (👤+) Button to invite members
Delete icon (🗑) Button to delete workgroup

Member List

When a workgroup is expanded, member list is displayed:

Item Description
Profile image Member avatar (initials or image)
Name Member's name
Email address Member's email address
Permission Permission dropdown or "Owner" text
Delete button (🗑) Button to remove member

Member Permissions

Set permissions from the permission dropdown:

Permission Description
No share permission View-only access to books
Share permission Can share books
Share admin... Can manage book share settings
Owner Full workgroup management rights (displayed as text, not dropdown)

Creating Workgroups

Creation Steps

  1. Select "Owned Workgroups" tab
  2. Click "Add Workgroup" on right side of toolbar
  3. Add workgroup dialog appears

Position Item Description
Left Close Close dialog
Center Add Workgroup Dialog title
Right Add Create workgroup

Input field: - Workgroup Name: Enter name for the workgroup to create

  1. Enter workgroup name
  2. Click "Add"

After Creation

Inviting Members

Invitation Steps

  1. Click add member icon (👤+) in the header of the workgroup
  2. Email input dialog appears
  3. Enter email address of user to invite
  4. Click "Invite"

After Invitation

Join Request Settings and QR Code

When "Join Request" switch is ON, QR code icon appears.

Inviting via QR Code

  1. Click QR code icon
  2. "Workgroup QR Code" dialog appears

QR Code Dialog Layout

Position Item Description
Left Close Close dialog
Center Workgroup QR Code Dialog title
Right Share icon Share QR code

Dialog contents: - Workgroup name - QR code image - Description: "Use this QR code to easily request to join the workgroup" - "Download Workgroup QR Code Image" link

Using QR Code

Other users can scan the QR code with Handbook X app to request to join.

Deleting Workgroups

Deletion Steps

  1. Click delete icon (🗑) in the header of the workgroup to delete
  2. Confirmation dialog appears
  3. Enter workgroup name to confirm
  4. Click "Delete"

Warning: Deleting a workgroup removes all member data. This action cannot be undone.

Joined Workgroups

When you have joined other users' workgroups, they appear in this tab.

Screen Layout

Leaving a Workgroup

  1. Click leave icon (📤) on the row of workgroup to leave
  2. Click "OK" in confirmation dialog

Note: Leaving a workgroup removes your access to books in that workgroup.

Joining Workgroups

Join Steps

  1. Select "Joined Workgroups" tab
  2. Click "Join Workgroup" on right side of toolbar
  3. Join dialog appears

Right Join Send join request

Input field: - Workgroup URL: Enter workgroup join URL
