9. Workgroups

Workgroups are the basic unit for managing users and content.

Workgroup Screen

Select "Workgroups" from the side menu to display the workgroup screen.

Toolbar

Position Item Description
Left Menu (≡) Open the side menu
Center Tab Switcher Switch between "Owned Workgroups" and "Joined Workgroups"
Right Refresh (↻) Refresh the workgroup list
Right Add/Join "Add Workgroup" (owned tab) or "Join Workgroup" (joined tab)

Tab Types

Owned Workgroups

Manage workgroups you own.

Screen Layout

Workgroups are displayed in a collapsible list format:

Tap the arrow icon (∨ / >) to the left of a workgroup name to expand/collapse it.

Workgroup Header

Each workgroup header displays the following items (for owners):

Item Description
Expand/Collapse Arrow ∨ (expanded) / > (collapsed)
Workgroup Name Name of the workgroup
Join Requests Turn the switch ON to allow other users to submit join requests
QR Code Icon Display the workgroup join QR code (shown when join requests are ON)
Add Member Icon (👤+) Button to invite members
Delete Icon (🗑) Button to delete the workgroup

Member List

Expanding a workgroup displays the member list:

Item Description
Profile Image Member's avatar (initials or image)
Name Member's full name
Email Member's email address
Permission Permission dropdown or "Owner" label
Delete Button (🗑) Button to remove the member

Member Permissions

The following permissions can be set from the permission dropdown:

Permission Description
No Sharing Permission Can only view books
Sharing Permission Can share books
Sharing Admin... Can manage book sharing settings
Owner Full management permission for the workgroup (displayed as text, not a dropdown)

Creating Workgroups

Steps to Create

  1. Select the "Owned Workgroups" tab
  2. Tap "Add Workgroup" on the right side of the toolbar
  3. The add workgroup dialog appears

Left Close Close the dialog
Center Add Workgroup Dialog title
Right Add Create the workgroup

Input Fields: - Workgroup Name: Enter the name for the workgroup

  1. Enter the workgroup name
  2. Tap "Add"

Inviting Members

How to Invite

  1. Tap the add member icon (👤+) on the header of the workgroup you want to invite members to
  2. The email address input dialog appears
  3. Enter the email address of the user you want to invite
  4. Tap "Invite"

After Inviting

Join Requests and QR Codes

Turn the "Join Requests" switch ON to display the QR code icon.

QR Code Invitations

  1. Tap the QR code icon
  2. The "Workgroup QR Code" dialog appears

Left Close Close the dialog
Center Workgroup QR Code Dialog title
Right Share Icon Share the QR code

Dialog Content: - Workgroup name - QR code image - Description: "Use this QR code to easily apply to join the workgroup" - "Download Workgroup QR Code Image" link

Using the QR Code

Other users can scan the QR code with the Handbook X app to submit a join request. They can also scan the QR code directly using the device camera.

Deleting a Workgroup

How to Delete

  1. Tap the delete icon (🗑) on the header of the workgroup you want to delete
  2. A confirmation dialog appears
  3. Enter the workgroup name to confirm
  4. Tap "Delete"

Warning: Deleting a workgroup removes all member data. This action cannot be undone.

Joined Workgroups

Workgroups you have joined (by invitation from other users) are displayed on this tab.

Leaving a Workgroup

  1. Tap the leave icon (📤) on the row of the workgroup you want to leave
  2. Tap "OK" in the confirmation dialog

Note: After leaving, you will no longer have access to that workgroup's books.

Joining Workgroups

How to Join

  1. Select the "Joined Workgroups" tab
  2. Tap "Join Workgroup" on the right side of the toolbar
  3. The join dialog appears

Right Join Submit a join request

Input Fields: - Workgroup URL: Enter the workgroup join URL

Joining via QR Code

You can also scan a workgroup QR code with the device camera to submit a join request directly.
