This guide explains the features specific to Handbook X Dedicated Server (Private Server) and the differences from the cloud version (my.handbookx.com).
What is a Dedicated Server?
A dedicated server is an enterprise solution for operating Handbook X in an independent environment for each company or organization. Compared to the cloud version, it has the following characteristics:

| Account Management | Managed directly by administrators | Users register themselves |
| Service Plan | Unlimited (based on contract) | Free/Personal/Team/Business |

| Number of Workgroups | Unlimited | Limited per plan |
| Number of Books | Unlimited | Limited per plan |

Best Practices for Dedicated Server Operation
Account Management Approach
- Create accounts per person: Issue one account per employee
- Minimize permissions: Grant only necessary permissions (principle of least privilege)
- Regular inventory: Regularly check and delete accounts for departing/transferred employees
Workgroup Design Approach
- Design according to organizational structure: Create workgroups by department/team
- Delegate authority: Delegate management of each workgroup to field leaders
- Handle concurrent assignments: One user can belong to multiple workgroups
Security Measures
- Use device restrictions: Set platform-specific access restrictions when limiting access from outside the company
- Export restrictions: Set "No Export" permission for users handling confidential information
- Use Reader permission: Set "Reader" permission for users who don't need to edit
Subdomain Name Restrictions
The subdomain name (e.g., the "mycompany" part of mycompany.handbookx.com) must be applied for with us at the time of contract. Strings already in use cannot be used, so please apply with multiple candidates in order of preference, starting with your first choice. We will confirm which ones are available and notify you when the server becomes ready for use.
Candidate strings you apply for must comply with the following restrictions based on DNS specifications.
Allowed Characters
| Character Type | Description |
|---|---|
| Letters | a–z (uppercase and lowercase are treated the same; lowercase is recommended) |
| Digits | 0–9 |
| Hyphen | "-" |
Length Restrictions
- Up to 63 characters
Prohibited or Restricted
| Item | Restriction |
|---|---|
| Hyphen position | Cannot start or end with a hyphen |
| Consecutive hyphens | Consecutive hyphens are typically not allowed (e.g., --) |
| Digits only | Names consisting only of 4 or more digits may be subject to registration restrictions |
