1. Introduction

1.1 Overview

Handbook X Coordinator is a web-based management tool for distributing and managing Handbook content.

What You Can Do with Handbook X Coordinator

1.2 Basic Concepts (Books, Users, Workgroups, Groups, and Sharing)

Handbook X delivers content by combining the following five elements. Understanding this big picture before reading each feature chapter will make the manual much easier to follow.

The Big Picture

Workgroup (management unit for a team or organization)
├── Members (users) ......... each member has a sharing privilege per workgroup
├── Groups ................... bundles of members (departments, roles, etc.) used as delivery targets
└── Books .................... containers for content
      ├── Sections (PDF, images, videos, web links, etc.)
      └── Sharing settings ... "who receives the book, with which permissions" (individual users / groups / access codes)

The basic delivery flow is: gather members into a workgroup, create books, and deliver them to groups (or users) via sharing settings. Members then view the delivered books in the Handbook app (iOS/Mac/Windows/Android).

Typical Setup Flow (First-Time Setup)

  1. Create a workgroup (6.3 Creating a Workgroup)
  2. Invite or add members (6.6.1 Inviting Members)
  3. Create groups and assign members as needed (5.3 Creating a Group)
  4. Create a book and add sections (3.3 Creating a Book)
  5. Deliver the book to groups (or users) via sharing settings (4.2 Adding a Share)
  6. Members view the book in the Handbook app

1.4 Screen Layout

Handbook X Coordinator WebUI consists of the following elements.

The navigation bar displayed at the top of the screen.

Main Content Area

The operation screen corresponding to the selected tab is displayed.

Displayed at the bottom of the screen. It contains supplementary information such as page navigation controls ("Previous"/"Next" buttons and page numbers — commonly called pagination) used when a list spans multiple pages.

1.5 About User Permissions

Handbook X Coordinator has two types of permission systems.

Account Permission (Dedicated Server Only)

In the dedicated server version, Account Permissions are set that apply to the entire organization.

Owner Organization owner. All features available All
Admin User with administrative privileges Books, Share, Groups, Workgroup, Accounts, Statistics, Information
Editor Standard user Books, Information
Editor (No Export) User who cannot export (write out) data Books (no export), Information
Read-only User with view-only access Books (view only), Information

Note: "Export" means writing out content such as books to a file and downloading it to your device. An "Editor (No Export)" user can create and edit books just like an Editor, but cannot take content out of the system as files. Use this role when you need to prevent confidential content from being taken outside.

Note: In the dedicated server version, the "Profile/Service Plan" tab is displayed as the "System Information" tab.

Workgroup Permission (Sharing Privilege)

Sharing Privileges that indicate operation permissions within a workgroup are used in both cloud and dedicated server versions.

Sharing Privilege Description
Owner Workgroup owner. Has all management and sharing privileges
Manage sharing privilege Can manage book sharing settings. Can add, modify, and remove shares
With sharing privilege Can share books. Cannot manage sharing settings
No sharing privilege Cannot share books. Can only view shared books

Tab Display in Cloud Version

In the cloud version, tab display is determined by workgroup permissions.

Note: Account Permissions and Sharing Privileges are independent concepts. In the dedicated server version, the same user can have different Account Permissions and Sharing Privileges for each workgroup.
